Golf Operations Committee Meeting Minutes
8:30 a.m. - Saturday, June 17, 2017

I. Meeting Called to Order

Meeting called to order at 8:30 a.m.

II. Approval of Minutes

Commissioner Foster moved and Commissioner Pellaton seconded a motion to approve the minutes of the May 13, 2017 Golf Committee meeting. All approved by general consent.

III. Communications and Correspondence

Commissioner Olvany commented on the email that was received regarding recommendations for membership rebates and refunds due to the course conditions.

IV. Recognition of Visitors

The Attendance Record will become part of the permanent record.

Frank Charhut, 139 Riverside Drive, Northfield – Mr. Charhut inquired about the location of some missing memorial tree markers.  Nick explained that many were removed during the course renovation and when dead trees were removed.   Nick went on to explain that several of the plaques have been claimed but that many are being stored in the  maintenance building and some are missing.

Commissioner Olvany explained our memorial tree program and added that he would recommend to the Board president that this topic be discussed again at the board level.

V. Managers’ Reports

Jeff Bowen, Superintendent of Facilities, reported on the following:

  • June revenue is trending to be better compared to June 2016.
  • Supply expenses are high, mainly due to the timing of invoices.
  • Overall operations are currently $124,000 below budget.

Nick Marfise (Golf Course Superintendent) reported on the following:

  • The bunker project has been completed.
  • Now that the bunker project has been completed staff has been busy planting flowers, trimming, completing more detailed work on the course, and the ongoing care of the turf.
  • Provided pictures to describe the course conditions.

Adam Kwiatkoski (Golf General Manager) reported on the following:

  • June 6 – activated summer rates.
  • Gewalt Hamilton hosted the first shotgun event of the season with 111 players.
  • Men’s’ club has hosted two events to date.
  • Summer camps and programs are underway. The youth have many opportunities for play and competition.
  • 3 big events will take place in the upcoming week.

VI. Unfinished Business

Compensation to Membership
Adam explained the factors that were taken into consideration when the decision was made to offer discounted rates to daily players.  He then referenced the letter that was received from Fred Watson requesting that Wilmette Golf Club members also be compensated for the same reasons.   The committee reviewed a spreadsheet that was distributed that showed the formula for calculating the recommended rebate.  Adam suggested that members receive a credit “rebate” on their household account to be used however the member would like.

Adam also noted that staff is planning a member appreciation event for the fall to recognize the members and to thank them for their loyalty.

Commissioner Olvany commented that although a refund may seem appropriate it may set a precedent.  He suggested another option that current members receive a discount off of next year’s membership.

The Committee concurred that loyalty and membership retention are the goal and discussed the options presented. They concluded that offering a rebate or refund may set a precedent not only for golf but also for the other park district facilities.

The Committee agreed that the full park board should discuss this topic.

Commissioner Olvany moved and Commissioner Pellaton seconded a motion to ask the full Board to consider a discounted rate for members of the Wilmette Golf Club.

Based on the recommendation of the Board, members of the Golf Committee will discuss the potential options at the July meeting.

VII. New Business

Fred Watson asked how the “cost per round of $38” is determined and what is included in that cost. Commissioner Olvany responded that he would like the Golf Committee to address this question at a future meeting as part of a strategic discussion about overall golf operations.

The next meeting of the Golf Committee will be July 15, 2017.
